## Common questions

### What is Taxmo and who is it for?

Taxmo is bookkeeping and tax software for UK sole traders, freelancers, contractors and small businesses who do their own books. You record income and expenses, see what to set aside for tax as you go, and file your VAT return to HMRC over Making Tax Digital.

### Do I need an accounting background?

No. Taxmo drafts each entry with a suggested category and VAT rate, and shows you every figure before anything is filed. For advice on your own situation, speak to an accountant or check GOV.UK.

### How do I sign up?

Sign up with an email address and a business name. The Free plan needs no card, and you can add entries and see your VAT dashboard straight away.

### Do I have to be VAT registered?

No. Taxmo keeps your income and expense records and a running estimate of Income Tax and National Insurance whether or not you are VAT registered. The VAT return features are there for when you are.

### How do I get my records into Taxmo?

Type an entry by hand, photograph or upload a receipt, send it by WhatsApp or email, connect your bank, or upload a CSV bank statement. Photo and WhatsApp capture and bank import are on Starter and Pro, and email capture is on Pro.

### How does receipt capture work?

Taxmo reads the supplier, the supplier's VAT number, the date, the amount and the VAT rate from the receipt, and shows how sure it is of the read. From a photo or upload you check the details and choose whether to book it as an expense or as income before you save; by email the expense waits for your review; by WhatsApp it is booked straight away and Taxmo replies with what it recorded, so you can correct it.

### Can I connect my bank?

Yes, on Starter and Pro. The connection is read-only and you authorise it at your own bank, so Taxmo never sees your banking login. It is an import you start, not a background sync: you authorise at your bank each time, and each import brings in the last 90 days. For older periods, upload a CSV statement instead.

### Do imported bank transactions go straight into my figures?

No. Imported transactions wait for you to approve them, and only approved transactions count. The check before you file a VAT return flags any that are still waiting.

### What is the email inbox?

On Pro, your account has its own forwarding address for receipts. The email inbox lists every message sent to it, so you can search it, filter by created, failed or in progress, retry a failed one and open the expense it created.

### Can I import from Excel or CSV?

Yes. You can bring income, expenses, sales invoices, contacts and products over from an Excel or CSV file, and a time log too on Pro. Taxmo matches the columns, shows a preview and saves nothing until you confirm. Imported income and expenses count towards your plan's entry allowance.

### Where do my receipts and invoices end up?

On the Documents page, in one place, whether they came from scanning, WhatsApp, email or an upload. You can rename, download or delete them there.

### Can I bring my records from other software?

Yes. On Starter and Pro you can connect Xero, QuickBooks or FreeAgent and import from it.

### Can Taxmo file my VAT return to HMRC?

Yes, on Starter and Pro, over Making Tax Digital for VAT. You authorise Taxmo once at HMRC's own sign-in, Taxmo reads your open VAT periods from HMRC so the return goes against the right one, and HMRC's receipt is kept with that period. Nothing is retyped into the HMRC website. On Free you get a read-only filing guide.

### How are the nine boxes worked out?

From the income and expense entries you approve. You can see which entries sit behind each box, and you review the whole return before you submit it.

### What does Taxmo check before I file?

A pre-filing check looks for gaps, such as a missing VAT number on your profile, invoices still in draft and bank imports still waiting for review, so you can fix them before the return goes to HMRC.

### Does Taxmo submit my Self Assessment return?

No. Taxmo does not submit your Self Assessment return or send Making Tax Digital for Income Tax updates for you. It keeps your income and allowable expenses against the UK tax year and an estimate of Income Tax and National Insurance up to date as you add entries. On Pro, the Self Assessment page brings those figures together for when you file on HMRC yourself.

### Does Taxmo handle the Construction Industry Scheme?

Yes. On Starter and Pro you can track CIS deductions.

### Can Taxmo track my mileage?

Yes, on every plan. You log business journeys by vehicle and Taxmo applies the HMRC approved mileage rates for cars, vans, motorcycles and bicycles. You can download the year's journeys as a CSV. Check GOV.UK for the current rates.

### Will Taxmo remind me about deadlines?

Yes, on Starter and Pro you get a reminder ahead of each VAT and Self Assessment date. Check the dates for your own tax year on GOV.UK.

### Can I send invoices from Taxmo?

Yes. You can create and send invoices, quotes and credit notes, and they feed the same records your VAT return is built from. Free includes 3 invoices a month, and Starter and Pro have no monthly invoice cap.

### Can I send a quote and take a deposit?

Yes. You can edit a quote after you create it, link it to a saved contact, invoice a deposit and turn the quote into an invoice when you are ready.

### Can I change the email an invoice is sent with?

Yes. Before an invoice goes you can review the email, set your own subject line, add a message and copy yourself. On a new invoice, Save and send saves and sends in one step. The invoice then shows a Draft, Sent and Paid timeline with the date it was sent.

### Can I set up recurring invoices?

Yes. Set an invoice to repeat, change the schedule whenever you like, and raise the next one now either as a draft or sent straight away.

### Can I change how my invoices look?

Yes. You can save several designs for your invoices, quotes and credit notes, choose one per document, and set one as your default. You can also keep reusable invoice templates for work you bill again and again. Taxmo does not have a free-form document designer.

### Does Taxmo keep my contacts and prices?

Yes. Contacts hold your customers and suppliers and products hold your price list. You can fill an invoice or quote from them, and import or export either as a CSV.

### Can I see who owes me money?

Yes. Your dashboard shows what customers still owe and how much of it is overdue, and each figure links to the invoices behind it.

### Can I track my time and projects?

Yes, on Pro. Time tracking has a timer, links hours to invoices, reports hours by month and project, imports a time log and exports a date range as PDF or CSV. Projects group invoices, income, costs and time and show the profit on each.

### Can my clients pay an invoice by card?

Yes. Add a payment link to the invoice and your client pays by card through Mollie. Processing fees are listed under additional costs on the pricing page.

### What is included in the Free plan?

Free has no time limit and needs no card. It includes 25 entries a quarter, 3 invoices a month, the quarterly VAT dashboard, the VAT, income tax and Flat Rate Scheme calculators, a read-only filing guide, your business profile and the basic Tax Savings Finder.

### What do Starter and Pro add?

Starter allows 50 entries a month and adds direct VAT filing to HMRC, bank import, receipt capture by photo and WhatsApp, profit and loss and balance sheet reports, CIS tracking, deadline reminders, the annual summary and CSV export. Pro removes the entry limit and adds the Taxmo AI Assistant, email receipt capture and the email inbox, the Self Assessment review, the full Tax Savings Finder, time tracking and projects, capital allowances, the EC Sales List, team access and read-only accountant access. Prices and allowances are on the pricing page.

### Can I change plan later?

Yes. You can start on Free and move to Starter or Pro at any time, and your data is kept.

### Are there costs beyond the subscription?

Some usage is charged separately, such as card payment processing on invoices and receipts beyond your plan's allowance. The pricing page lists these under additional costs.

### Is my financial data secure?

Your data is encrypted in transit and at rest, and isolated per user. You can turn on two-factor authentication for your login. We never sell your data, and every processor we use is named in our Privacy Policy and bound by a Data Processing Agreement under UK GDPR.

### Can I export or delete my data?

Yes. From Data and privacy in your account you can download a copy of your data or delete your account. HMRC sets how long you must keep tax records, so check GOV.UK before you delete anything.

### How do I contact support?

Email support@taxmo.co.uk. A real person reads every message. If you are signed in you can also raise a request from inside the app and follow the replies there.
