Three ways to get a receipt into your accounts
The best receipt process is the one you will actually use at the moment you are handed the receipt, not the one that requires a laptop.
Photo, email, or WhatsApp
Photograph it on your phone. Forward the supplier's email to your own Taxmo address. Or send it on WhatsApp, which is usually the one people stick with, because it is already open.
Read, then confirmed
Vendor, amount, VAT and date are extracted and held for you to confirm. Nothing is posted to your books on the strength of an automatic read alone, because a misread VAT amount becomes a wrong return and a wrong return is your problem, not the scanner's.
The paper afterwards
HMRC accepts digital copies of receipts provided they are legible and complete. Under Making Tax Digital, keeping them digitally is closer to a requirement than a convenience. The original can go once the digital copy is safe.
Common questions
Can I throw the paper receipt away?
Generally yes, once you have a clear and complete digital copy, though a few documents are worth keeping in original form. If in doubt, keep the paper for anything unusual or high value.
How accurate is the reading?
Good on clear receipts, less good on faded till rolls and handwriting. That is exactly why every scan is held for confirmation rather than posted automatically. Check the VAT figure in particular.
Does it work with supplier invoices by email?
Yes. Forward them to your Taxmo address, or give that address to suppliers who email invoices, and they arrive in your inbox ready to check.
